DomTrac, DocuCom, and the End of Support: Facts and the Path to CIB coSys

With the end of support for DocFamily approaching in early 2026, there are many search queries circulating in the market, such as “DomTrac” or “DocuCom end of support.” We’ll break down the three product families and show when and how a migration to CIB coSys can still make strategic sense.

What do DomTrac and DocuCom do?

The two products cover complementary areas of document creation—fully automated bulk output on the one hand, and interactive document processes on the other:

DomTrac – Mass Output & Batch

Fully automated creation, processing, and distribution of large volumes of documents (e.g., bank statements). At its core is a workflow engine with a database that tracks the status of each document. A post-processor groups, bundles, and generates output streams in PDF, AFP, or PostScript for each channel. DomTrac is considered the industry standard among Finnova banks (dedicated Finnova adapter) and is also used by health insurers—including standard interfaces to print service providers.

DocuCom – Interactive Document Workflows

No-code platform for workflow-driven, personalized correspondence: graphical workflow designer, dialogs and interactive documents, dual-control principle, business rules and decision tables, business adapters for mapping technical data structures to business objects, multi-client capability, versioning, and web forms for external end users. The target audience is the back offices of banks, insurance companies, and government agencies.

No End of Support—When Should You Consider Switching Anyway?

Those using DomTrac or DocuCom are under no immediate pressure to act due to end-of-life (EOL) issues. However, there are strategic scenarios in which institutions are reassessing their CCM landscape—and in which CIB coSys should be included in the evaluation as a target platform:
  • Platform Consolidation: Multiple document management solutions (e.g., a phased-out Assentis installation plus DomTrac/DocuCom) are to be consolidated onto a single platform.
  • Core banking system replacement or expansion: Changes to Finnova, Avaloq, or other core systems inevitably put existing adapters and integrations to the test.
  • Process and Workflow Strategy: Document processes should be standardized using a BPMN platform such as CIB flow or CIB seven and integrated with the rest of the process automation.
  • Template Governance: In the future, departments will be expected to take greater responsibility for maintaining their own templates—using Word-based creation, versioning, and approval processes.
  • Vendor and Cost Strategy: Licensing models, operating costs, and vendor dependencies are reevaluated as part of a sourcing strategy.
It’s important to start from an honest assessment: Migrating “away from” an actively supported product requires a clear strategic business case—not EOL panic.

Functional Mapping to CIB coSys

With its components, CIB coSys covers both interactive and fully automated areas. Functionally, the picture is as follows:
DomTrac/DocuCom CompatibilityEquivalent in CIB coSys
Interactive Document Creation (DocuCom)CIB webDesk – browser-based correspondence for case workers, with CIB webTom and CIB workbench for templates and text modules
Mass Output and Batch (DomTrac)CIB documentServer for server-side bulk generation plus CIB darkDesk for dark processing without user interaction
Template and Text OrganizationCIB webTom (centralized, version-controlled repository with roles and approval processes) and CIB workbench (Word-based template development)
Workflow and Process ControlCIB flow – BPMN-based process automation powered by CIB seven

Mass Mailings and PoststrasseCIB fairBrief or integration with existing printing service providers

Migration-Specific Features: What Sets DomTrac and DocuCom Apart

Compared to a DocFamily migration (XSL-FO-based templates), DomTrac and DocuCom have their own unique characteristics that should be addressed early in the assessment:

1 Template and Layout Formats

DomTrac uses a configurable formatter and workflow configurations, while DocuCom relies on dialog boxes and process definitions. CIB coSys uses RTF-based Word templates via the CIB Workbench. Automated 1:1 mapping is more heterogeneous here than with XSL-FO—in practice, it has proven effective to rebuild layouts cleanly in the target system and to migrate content and text modules in a structured manner.

2 Tracking and Audit Data

DomTrac tracks the status of each document in a database. Before the system is replaced, it is necessary to determine which tracking and log data must be continued for operational purposes, migrated for historical records, or archived in an audit-proof manner—particularly for document types subject to regulatory requirements.

3 Batch, Bundling, and Output Logic

Post-processor functions such as grouping, bundling, envelope control, and channel-specific output streams (PDF, AFP, PostScript) must be replicated in CIB documentServer, CIB darkDesk, and, if applicable, CIB fairBrief, and tested under realistic load conditions.

4 Interfaces and Integrations

Core banking connections (such as the DomTrac-Finnova adapter), print service providers, envelope stuffing and shipment tracking systems, archiving/DMS, and CRM are the key migration risks. The new integration should be loosely coupled and API-oriented so that the document platform remains independent of individual line-of-business applications.

The rest of the process follows the proven ONLU migration model described in the DocFamily article: assessment and inventory, target architecture, mapping, Template Factory, proof of concept using reference templates, automated quality assurance, and rollout in business-specific phases with parallel operation.

Assentis customers, on the other hand, need to act quickly: Anyone currently using DocFamily should plan their migration now, as regular support ends in early 2026. We outline what a controlled migration program to CIB coSys looks like in the article “End of Support for Assentis DocFamily: How to Successfully Migrate to CIB coSys.”

Conclusion

DomTrac and DocuCom are active, further-developed products of the ELCA Group; the widely cited end of support applies exclusively to the Assentis DocFamily. Those currently using these systems can make decisions without time pressure and based on strategic criteria: platform consolidation, process integration, template governance, and sourcing strategy.

If the decision is made to realign the business, CIB coSys offers a fully functional target platform—ranging from the interactive webDesk to batch processing with darkDesk and documentServer, all the way to BPMN process control with CIB flow. The key is a thorough assessment that takes templates, tracking data, batch logic, and interfaces into account from the very beginning.

Reevaluate the landscape?

  • Smart Communications announced the acquisition of Assentis Technologies in January 2021; the transaction was completed in February 2021.
  • Several CCM service providers have consistently communicated that support for the Assentis DocFamily will end “in early 2026”; we are not aware of any public end-of-life page from the manufacturer. According to industry sources, support for use within Avaloq will continue for a slightly longer period. Individual contract terms should be reviewed separately.
  • Docucom AG (Rapperswil-Jona) has been part of the ELCA Group since mid-2021; DomTrac and DocuCom are being actively marketed and further developed as “Mosaic Domtrac” and “Mosaic Docucom.”
  • ELCA describes DomTrac as the industry standard for Finnova banks, with use also among health insurers; a dedicated Finnova adapter is available.
  • CIB describes CIB coSys as a correspondence management system comprising the components CIB webTom, CIB workbench, CIB webDesk, CIB darkDesk, and CIB documentServer, as well as CIB flow for process automation.
